1.    Introduction and general information
On behalf of the Local Organising Committee and the Local Advisory Board, it is a great pleasure to invite you to attend and participate in this exciting event.

Rome, the cradle of Western civilisation, was instrumental in shaping so many fundamental aspects of our modern life. Its history and legacy are unparalleled. More artwork is to be enjoyed in Rome than perhaps any other city in the world, and its museums, exhibitions and lifestyle make it unique. Do not miss what is going to be a memorable EASD Annual Meeting! The venue of the Meeting will be the newly built Nuova Fiera di Roma conference and exhibition centre, located west of Rome, about 8 minutes by train from the Leonardo da Vinci ("Fiumicino") Airport and about 25 minutes by train from the heart of the Eternal City.

The Meeting will start with a Get-Together Party at the conference centre in the evening of Sunday, 7 September; the official Opening Ceremony will take place in the morning of Monday, 8 September. The Meeting will end at lunchtime on Thursday, 11 September, with the Closing Ceremony followed by a Farewell Reception.

We are certain that the Annual Meeting in Rome will stand out as unforgettable in your memory. Do come and enjoy the outstanding EASD scientific programme and a bit of "dolce vita".

2.    Programme
Original communications are invited on any subject relevant to the understanding of diabetes mellitus. Brief instructions are given under Point 4; more detailed instructions will become available soon.
The closing date for abstracts is 1 APRIL 2008. Communications must be delivered in English. There is no simultaneous translation. The Provisional Programme will be sent to all paid-up members of EASD in June 2008.
The programme will include the Opening Lecture, the 43rd Minkowski Lecture, the 23rd Camillo Golgi Lecture, the 40th Claude Bernard Lecture by Professor Ralph A. DeFronzo (USA), the 2nd Albert Renold Prize Lecture for Outstanding Achievement in Research on the Islets of Langerhans, State of the Art Lectures, Symposia and Oral and Poster Presentations.
It is not permitted to take photographs and/or film during any of the sessions.

3.     Receipt of abstracts
Abstracts can only be submitted online and cannot be submitted later than 1 April 2008. This deadline will be strictly enforced, as will be the regulations given in paragraph 4. Acknowledgement of receipt will be sent via e-mail to the presenting (=first-named) author. Please contact the EASD Office if no receipt of acknowledgement has been received by 10 April 2008.

4.    Presentation of abstracts

It is MANDATORY that the first-named, presenting author of any abstract accepted for presentation be present to deliver his/her paper. Failure to do so, without prior or adequate explanation sent to the EASD Office by fax or e-mail, may result in the author being banned from presenting abstracts for the next three years.

CHANGES TO THE CONTENT OF THE SUBMITTED ABSTRACT WILL NOT BE ACCEPTED after the submission deadline.

6.    EASD Rising Star Symposium
Rising Star Application Form (word-doc)

The EASD Rising Star Symposium aims to identify promising and innovative young researchers who are developing their research activities in Europe. Selected candidates will have the opportunity to present an overview of their past and ongoing research activities during a multidisciplinary research symposium at the 44th EASD Annual Meeting. Four candidates will be selected, two in basic research and two in clinical research. Selected candidates will be invited by EASD to present a lecture (25 minute lecture + 5 minute discussion) and will receive a commemorative diploma. EASD will cover travel expenses and hotel and registration costs for the selected scientists.
Candidates for the EASD Rising Star Symposium must be paid-up members of EASD and have a PhD, MD or equivalent degree. The candidates must be under the age of 38 on 1 January 2008. Preference will be given to individuals who normally reside in Europe and who have consistently pursued a well defined and innovative research line, leading to several publications in high impact peer reviewed journals.
The application to deliver a lecture at the EASD Rising Star Symposium should include:
  1. A two-page description of the applicant's research line, including supporting references to his/her publications, where appropriate.
  2. Full name, address, date of birth and brief curriculum vitae of the applicant (two pages maximum), plus complete list of publications.
  3. Proof of current EASD membership.
  4. Date and nature of the present appointment held by applicant.
  5. Letter of recommendation from the Head of the Department.
  6. Statement on whether the candidate wishes to apply in basic or clinical research (the basic and clinical tracks are evaluated separately).
Applications should be sent as an attached word/PDF document to: abstracts@easd.org to arrive no later than 20 February 2008. Applicants will be informed of the outcome of their application by the end of May 2008.

7.    Programme Committee
The Programme Committee Members will meet in May 2008 and have the absolute right to accept or reject abstracts. Their decision is final. Only accepted abstracts will be printed. The Programme Committee's decision will be sent in the second week of June 2008 ONLY to the presenting (= first-named) author's contact e-mail entered in the online abstract submission tool.

8.    Poster presentations
Poster presentations rank equally with oral presentations at EASD Meetings. Posters must be displayed throughout the Meeting and should be mounted in the morning of the first day and removed at the end of the EASD Meeting. The Posters should be accessible for study at any time during the hours of the Annual Meeting.
Furthermore, all posters are presented at special, formal Poster Discussion Sessions which will be held on Monday, Tuesday and Wednesday from 12:30 to 14:30, when no other scientific sessions will take place. These sessions offer an excellent opportunity for direct scientific exchange. During the Poster Presentation Sessions, the presenting author must be present or make arrangements for somebody with knowledge of the displayed work to be present at the poster. Reprints of the poster (sheets of DIN A4 format) should be made available and placed in the envelope / case which is attached to the poster board. Detailed instructions will be sent to the presenting author on notification of acceptance (only to the presenting (=first-named) author's contact e-mail entered in the online abstract submission tool).

9.    Projection facilities
PowerPoint presentation will be available. Instructions on presentation will be sent to the presenting authors on notification of acceptance (only to the presenting (= first-named) author's contact e-mail entered in the online abstract submission tool). Only single projection is provided.

10.    Volume of abstracts

Abstracts accepted for presentation will be published in the Volume of Abstracts and will be sent to EASD members prior to the EASD Annual Meeting. The Volume of Abstracts will be included in the conference bags. Furthermore, all accepted abstracts will be available on the Association's website (www.easd.org) before the Annual Meeting.

10a.    Embargo Policy

Information contained in those abstracts published online and in the Volume of Abstracts may not be released until the abstracts appear on the EASD web site.  

Poster Presentations are under embargo until the first day of the Annual Meeting.

Oral Presentations are under embargo until the specific Oral Session commences during the Annual Meeting.  

Accepted abstracts are made available on the EASD web site and are published in a supplement of Diabetologia

Information contained in those abstracts may not be released until the abstracts appear on the EASD web site.

Poster Presentations are under embargo until the first day of the Annual Meeting.

Oral Presentations are under embargo until the Oral Session commences.



11.    Meetings on the occasion of the Annual Meeting
Other meetings held on the occasion of the 44th EASD Annual Meeting will be announced by means of an ad-hoc programme, produced and distributed by the Local Organising Committee. 12.    Credit points
Certificates of Continuing Medical Education Credit Points will be provided by EASD on the last day of the EASD Annual Meeting at the EASD booth.

13.    Travel Grants / Stayment Grants
Only EASD Members can apply for either a Travel or a Stayment Grant.

Travel Grants - Deadline 1 June 2008
A limited number of Travel Grants will be available to paid-up members of EASD under the age of 35 on 1 September 2008, who are presenting authors of accepted abstracts.

Stayment Grants - Deadline 1 June 2008
A limited number of Stayment Grants will be available to paid-up members of EASD, who are presenting authors of accepted abstracts and who are living in countries facing financial difficulties.

Application for Travel or Stayment Grants:
Application can be made for only one grant. The application for a Travel or Stayment Grant should consist of a single page giving the following information:
  1. Full name, date of birth and place of work of the applicant.

  2. EASD Membership number of the applicant.

  3. Date and nature of appointment to current position.

  4. The cost of economy return fare between place of work and Rome (in Euro).

Additionally, the following are required: 

 

    a.   Copy of submitted abstract.

    b.   Brief recommendation by the Head of Department.

 

Applications for these Grants should be sent to EASD to arrive not later than 1 June 2008. Applications received after this date cannot be considered.

14.    Passports and visas
A valid passport is generally required for entry into Italy. Being one of the Schengen countries (together with Austria, Belgium, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Latvia, Lithuania, Luxembourg, Poland, Portugal, Slovakia, Slovenia, Spain, Sweden and The Netherlands) Italy follows the common visa policy on short-term stays of up to three (3) months within the Schengen area. The citizens of Schengen countries are not subjected to border controls within the common area, though airlines or other carriers do require an identification document (e.g. ID or passport). Name Change and Cancellation Charges

Name change fee will be as follows:
  • received before 20 June 2008: No handling charge, but, where applicable, fee changes must be paid in accordance with the new registration type
  • received between 21 June and 18 August 2008: Euro 50 handling fee plus, where applicable, fee changes in accordance with the new registration type
  • if a reimbursement is necessary, a Euro 50 handling fee will be charged.
  • after August 18, 2008: Name changes only possible onsite in Rome, previous fees still apply
Refund of registration fees will be as follows:
  • received before 20 June 2008: 100% refund (minus Euro 50 handling fee)
  • received between 21 June and 18 August 2008: 50% refund (minus Euro 50 handling fee)
  • no refund on cancellations received after 18 August 2008.

19.    Hotel accommodation
A large number of hotels varying both in category and in location has been reserved on the occasion of the 44th EASD Annual Meeting. The availability of rooms will be continuously updated on www.easd2008.org.

Please take into consideration that, due to the ever increasing number of participants at the Annual Meetings and the importance of the city of Rome as a centre of national and international political life and as one of the most important tourist destinations in the world, rooms in different price categories have been blocked at preferential rates for the 44th EASD Annual Meeting. It is strongly advisable to book your room(s) at the earliest possible opportunity. Telephone reservations will not be accepted. Hotel rooms are booked on a 'bed and breakfast' basis, including all local taxes.

Individual reservation policy
  • As a service for individual participants, D.G.M.P. will arrange your hotel accommodation at the same price as a group reservation;
  • All prices are in Euro;
  • Participants will receive a voucher for their hotel reservation;
  • The prices quoted include bed and breakfast, services and taxes: other extras are not included and must be settled when checking out;
  • All rooms have a private bathroom;
  • 15 Euro per room will be charged as booking fee;
  • Please note that the hotels require full pre-payment no later than 31 May 2008: you will receive an e-mail reminder of the deadline. If the full payment is not settled by 31 May, your reservation will be cancelled and no deposit will be refunded.
  • Participants will receive a first confirmation after the deposit has been received. A voucher, to be shown on arrival at the reception desk of the hotel, will be sent only after the full payment has been received.
Individual reservation cancellation policy
Total cancellation is permissible free of charge if made in writing to D.G.M.P. no later than 31 May 2008. The paid deposit will be refunded less a handling fee of 30 Euro per cancelled room.

Between 31 May 2008 and 1 August 2008, cancellation is permissible and the paid deposit will be refunded less the first night and the reservation fee of 30 Euro per cancelled room.
After 1 August 2008 cancellations or no-shows will be charged for the entire booked period. The deadline for any arrival or departure changes is 1 August 2008.
After this date the change is not guaranteed.

Any request of change will be charged with a handling fee of 30 Euro. The deadline for any name change is 1 September 2008. After this date a handling fee of 30 Euro will be charged for each name. All individual cancellations and changes are only valid when made in writing and confirmed by D.G.M.P. All refunds will be processed after the Annual Meeting.

Group reservation policy
The rooms will only be confirmed once D.G.M.P. has received the deposit. Booking deposit information and the deadline will be specified in the agreement form. The room rates include taxes and breakfast: all other extras are not included and must be settled when checking out, unless differently agreed upon.

Group reservation cancellation policy
Total cancellations are permissible free of charge only if made in writing to D.G.M.P. Viaggi no later than the 30 May 2008. Paid deposits will be refunded less a handling fee of 30 Euro per each cancelled room. For cancellations made later than the 30 May 2008, the following rules apply:

  • Between 31 May and 30 June 2008, a maximum of 30% of the originally booked rooms can be cancelled (handling fee applies as above).
  • Between 31 June and 1 August 2008, up to 10% of last given number of rooms can be cancelled (handling fee applies as above).
  • After the 1 August 2008, cancellations or no-shows will be charged in full.
The deadline for name changes is 1 September 2008. After this date a fee of 30 Euro will be charged for each name change. Reductions/cancellations are only valid in written form and signed by both parties. For cancellations exceeding the afore-mentioned percentages the full amount for the booked period will be charged. However, D.G.M.P. Viaggi shall do their best to resell such rooms. All no-shows will be charged in full. In case prior to arrival the total amount has not been paid, all costs of the hotel room need to be paid directly in the hotel by each guest upon departure. Get-Together Party
Taste the typical regional Italian food at the Get-Together Party that will take place on Sunday, 7 September 2008 at 18:30. Admission is included in the Registration Fees for participants and accompanying persons.

Museum Nights
Tuesday and Wednesday, 9 - 10 September 2008 between 20:00 and 22:00. Admission is included in the registration fees for participants and accompanying persons.

Closing Ceremony and Farewell Reception
The Closing Ceremony will take place at the Nuova Fiera di Roma on Thursday, 11 September 2008 at 13:30 and will be followed by a Farewell Reception. Admission is included in the registration fees for participants and accompanying persons.

23.    Transport in Rome
How to reach the Nuova Fiera di Roma
- By train
The Nuova Fiera di Roma has its own railway station that is located on the line that connects the Airport with the Roma Ostiense Station, from where it's possible to reach the main railway station, Roma Termini, or the Underground. By bus Detailed information will be available on the Web and in the Provisional Programme.

- By car
The Nuova Fiera di Roma is located along the A91 motorway that connects Roma with the Fiumicino International Airport and it has its own exit. When you approach Roma via the A12 "Autostrada Azzurra" motorway take the "Roma" direction on the conjunction with the A91 motorway. If you are coming from other directions, follow the signs towards Roma Fiumicino Airport and take the exit on the A91 motorway.

- Car parking
A large parking space is available at Nuova Fiera di Roma. We strongly recommend delegates arriving by car to use these facilities. Parking fees are not included in the registration fee. Information about prices and tickets will be available soon.

- By plane
An EASD hospitality desk in the arrival halls of Roma Fiumicino Airport will be established to welcome EASD participants and facilitate transfers to the Nuova Fiera di Roma or hotels in Roma. You will recognise the hospitality desk by the EASD 2008 logo. Nuova Fiera di Roma is only a 20-minute journey away from the Airport by car, taxi and train. - Taxi Service
We recommend that you use only authorised taxis in Rome. From the Airport the fare of the taxi drivers of Rome is approximately 40 Euro inclusive of luggage, for a maximum of four passengers, for all destinations within the Aurelian Walls, marking the central area of the city of Rome. The average cost for a taxi ride from the Airport to the Nuova Fiera di Roma is approximately 25 Euro and from the City Centre to the Nuova Fiera di Roma the fare is approximately 35 Euro.

24.    Insurance
The registration fees do not include the insurance of participants against accidents, sickness, cancellation, theft, property loss or damage. Participants are advised to take out adequate personal travel insurance.

However, EASD 2008 and its agents reserve the right to alter or cancel, without prior notice, any of the arrangements, timetables, plans or other items relating directly or indirectly to the Meeting, for any case beyond their reasonable control.
