On behalf of the Local Organising Committee, and after the great success of the 47th EASD Annual Meeting held in Lisbon in 2011, it is an honour to welcome this major scientific event back to our city in 2017. Lisbon, Europe’s second oldest capital, once home to the world’s greatest explorers, offers a wide variety of options to explore: wonderful architecture, magnificent monuments, a rich history, vibrant cultural life and great natural sightseeing opportunities.
Surrounded by beaches, mountains and the countryside, it is a historic capital, a potpourri of unusual character and charm, an amalgam of 800 years of cultural influences mingled with modern trends and lifestyle, creating intricate and spectacular contrasts. It is the birthplace of the world’s first diabetes association – the Portuguese Diabetes Association. Founded in 1926 by Ernesto Roma, today it is a national and international model for diabetes care.
The EASD Annual Meeting will take place in the Parque das Nações, at the International Fair of Lisbon (FIL), a former industrial zone, it was entirely rebuilt for Expo 98 with excellent access to downtown and the airport. The sessions will take place at the FIL and in the adjacent MEO Arena with the meeting starting with Symposia on 11 September and the Opening Session on the morning of Tuesday, 12 September. Always a rewarding meeting, with opportunities to make new contacts, meet old friends and stimulate creative exchange, we look forward to welcoming you in September 2017 for the 53rd EASD Annual Meeting in Lisbon.

Communications must be delivered in English. There is no simultaneous translation.
It is not permitted to take photographs and/or film during any of the sessions.
Abstracts can only be submitted online and MUST be submitted BEFORE 1 APRIL 2017 23:59 hrs CET. THIS DEADLINE WILL BE STRICTLY ENFORCED, as will be the regulations given below. The EASD office will notify the presenting (= first named) author when the abstracts with the status "complete" are forwarded for anonymous review.
The following is a brief overview of the abstract submission process. Please read carefully the DETAILED ABSTRACT SUBMISSION GUIDELINES before you begin the abstract submission process.
It is not permitted to submit work that has been published and/or is likely to be published before the EASD Abstract submission deadline (1 April 2017, 23:59 hrs. CET). The Programme Committee has the right to remove an abstract if this contains data that has already been published. However, EASD accepts the submission of abstracts that have been presented in recent months at local or national diabetes meetings (e.g. ADA, DDG). An author submitting or presenting work that has been published in a journal before the EASD Abstract submission deadline (1 April 2017, 23:59hrs CET) will be banned from presenting data at the EASD Meetings for three years.
Abstracts submitted on Human Studies:
The box must be marked stating that the study has been reviewed by the Local Ethics Committee and that it has therefore been performed in accordance with the ethical standards laid down in the Helsinki Declaration (see World Medical Association: www.wma.net).
Abstracts submitted on Animal Studies:
The box must be marked stating that the study has been carried out along the “Principles of laboratory animal care” (NIH Publication no. 85-23, revised 1985) and according to the national law, if applicable.
Selection of abstracts for the Scientific Programme is made anonymously. THE ABSTRACT MUST BE SUBMITTED as follows:
Each author can be listed ONLY ONCE as the PRESENTING author (presenting author is always the first named author in the author block) on ONE (1) abstract. Each additional abstract will be removed from the system and will not be forwarded to the Review Committee. Additional abstracts will not be reviewed. Presenting authors may be co-authors of other abstracts. It is mandatory that the presenting author of any abstract accepted for presentation attends the 53rd EASD Annual Meeting 2017 to present his / her paper. Failure to do so, without prior or adequate explanation sent to the EASD Office by e-mail, may result in the author or the institution being banned from presenting abstracts for the next three years.
Abstracts are welcome from non-members of EASD. Please refer to the Registration section of this General Information, regarding the date by which authors must become members of EASD in order to qualify for preferential registration fees. These regulations will be strictly enforced.
The abstract must be submitted in English. New authors should create an account using a login name and a password. With this information they can revise the submission as often as required, make changes, additions, amendments, change/add/delete authors, copy special characters easily into the text, re-write the abstract or copy and paste the text in the corresponding boxes. All this is possible until the Abstract Submission Deadline: 1 April 2017 23:59 hrs CET. After this date the submission site will be closed. *IMPORTANT!: Always double check that the “complete” status of your submitted abstract has NOT been affected after having edited it.
CHANGES TO THE CONTENT AND/OR THE AUTHOR BLOCK OF THE SUBMITTED ABSTRACT WILL NOT BE ACCEPTED after the submission deadline.

Programme Committee
Preference for oral or poster presentation is not possible. The Programme Committee allocates the accepted abstracts to either an oral or a poster session. The Programme Committee Members will meet in May 2017 and have the absolute right to accept or reject abstracts. Their decision is final. Only accepted abstracts will be published in the Abstract Volume. The Programme Committee’s decision will be comunicated via email in the last week of May 2017 ONLY to the presenting (= first named) author’s contact e-mail entered in the online abstract submission tool.
Poster Presentation
Poster presentations rank equally with oral presentations at EASD Meetings. Posters must be on display throughout the whole duration of the Meeting and should be already mounted in the morning of the first day and removed at the end of the EASD Meeting. The Posters must be accessible for study at any time during the hours of the Annual Meeting.
Furthermore, all posters are presented at special, formal Poster Discussion Sessions which will be held from Tuesday to Thursday from 12:00 - 14:15, when no other scientific sessions will take place. These sessions offer an excellent opportunity for direct scientific exchange. During the Poster Presentation Sessions, the presenting author must be present or make arrangements for somebody with knowledge of the displayed work to be present at the poster. An average of 3 - 5 minutes will allow for each author to present his/her poster, followed by open discussion of 3 - 5 minutes (depending on the number of abstracts in the poster session). Participants can collect a headset on a first come first served basis to follow the presentations within the corresponding sessions. Reprints of the poster (e.g. sheets of DIN A4 format) should be made available (no booklets). Detailed instructions will be sent to the presenting author on notification of acceptance (ONLY to the presenting (= first named) author’s contact e-mail entered in the online abstract submission tool) online abstract submission tool).
Third-party Poster Tours / Sessions are STRICTLY FORBIDDEN.
In addition to the printed poster presentation, EASD will also make posters available via its Vitual Meeting.

Individual registrations have to be made by means of the secured online registration system. For further details on the legal regulations, please refer to the "Terms & Conditions" document that you are required to accept during the registration process.
Registration will open in February 2017. EASD does not accept "blank" registration.
Children under the age of 18 will not be permitted to enter.
All rates are indicated in Euro. The term "Paid-up Member" refers to a person who is recorded at the EASD Office as a paid-up member before 1 July 2017 and the membership has to be valid during the Annual Meeting.
EASD does not charge VAT.
Methods of payment
Payments can only be made in Euro.
Payment should preferably be made by credit card (Visa, Mastercard or American Express). When paying by bank transfer, bank charges are the sender's responsibility. The family name and the invoice number of the delegate must be used as reference. Bank transfer payments are only possible before 14 August 2017.
Cheques are not accepted.
Name change
Name changes are not possible.
Cancellation policy
Cancellations must be sent in writing to registration@easd.org. Refund of registration fees will be as follows:
All refund requests (also in case of over or double payment) must be sent per email no later than 15 December 2017. Reimbursement payments must be processed by the end of the calendar year. Credit will not be given for unattended events or early termination of the delegate's attendance.
Name badge replacement onsite
The congress name badge must be worn at all times during the EASD Annual Meeting. Access to the congress centre will not be granted without the official name badge. Euro 50 will be charged to re-print your name badge onsite. The original badge will be made invalid.
Collection of Congress Material
As soon as EASD has received full payment of the registration fee, you will receive a confirmation email with a Barcode Voucher attached (PDF document). The barcode enables you to print out your name badge onsite and to collect your congress material.
Group Registration
Online registration is now closed, please register onsite.
Please note that Group Registration applies to groups with 15 or more delegates. If your group has a smaller number of delegates kindly register via the individual online registration tool.

Invoices and payment
Until 10 July 2017 you can enter your account and add / delete as many delegates as required. Due to this new, easy-to-use system your first invoice will be e-mailed to you after the early deadline of 10 July 2017. After this date, further invoices will be sent to you on a daily basis for new registrations / name changes and the late registration fee will apply. After the early registration deadline the names in your account are “fixed”. You can still view these names in your account but any changes must be e-mailed to your group contact.
Once an invoice has been issued, any details e.g. the address cannot be changed. In addition, Euro 50 is charged to amend/cancel an incorrect registration fee selected by the client. Registration fee amendments can only be processed until 21 August 2017.
Payment is possible by bank transfer or credit card (MasterCard / Visa / American Express) and should be recorded on our account within 14 days after the date of issue on the invoice. Acknowledgment of your payment will be sent per e-mail. If payment is not received within the 14 days, a late payment charge of 15% will be implemented. All issued invoices must be paid in full before the start of the Annual Meeting.
Cheques are not accepted.
Registration after 10 July 2017
Late registrations can still be entered into your account and this is possible until 21 August 2017. After this date any further registrations must be handled onsite in Lisbon. EASD does not accept "blank" registrations.
Name changes - from 11 July 2017 & onsite
For changing the name of an early registration after 11 July 2017, the difference between the early and the late fee is charged (always considering the EASD membership status).

Onsite registration / Collection of congress material

Letter of Invitation
An official invitation can be requested via the online registration tool. Please note that this procedure aims to assist delegates who need to obtain a visa or permission to attend the meeting and is not an official invitation covering fees or any other expenses. It does not imply any financial support from the Meeting organisers. This letter can only be sent to delegates after the registration fee has been paid. Please note that we have an agreement with the Portuguese Ministry of Foreign Affairs to issue a “Letter of Invitation” only for registered delegates who have paid their registration fee in full.
If a visa application has been declined – for whatever reason – the congress organisers cannot be held liable for any incurred expenses, such as registration fees, accommodation, travel, financial losses, etc. Please check with your local embassy what documents are needed to apply for a visa.

Press Registration
You will be required to produce either your Press ID card or a Letter of Assignment during the registration process and you will only receive your confirmation once your documentation has been assessed. Please read the following information carefully before starting the registration process.

Press Registration is free for all approved Press Delegates. By registering as a Press Delegate for the 53rd EASD Annual Meeting you agree to adhere to the EASD embargo policies (see below) and video / recording policy. Failure to do so will result in loss of press delegate privileges and a ban on attending future EASD events.
Business cards will not be accepted as a form of Press Identification and NO EXCEPTIONS will be made to this rule.
Communication organisations' representatives wishing to promote products or services (i.e. marketing, advertising or public relations representatives) may not register as press delegates.
The following policies and guidelines have been prepared for news media which cover the EASD Annual Meeting either through print, radio, internet, TV or photography.
The EASD Annual Meeting is open to representatives of print, electronic, internet, general interest and healthcare media. To register as a press delegate for the EASD Annual Meeting, journalists must present Press Identification or a Letter of Assignment from the Editor-in-Chief of a recognised source (news organisation).
Journalists reporting for online media outlets who wish to register as press must work for news-making organisations that meet the following criteria:
Editorial content must be independent of advertising and sponsorship.
Advertising or industry sponsorship on the Website must be clearly identifiable as such.
EASD reserves the right to deny Press Registration to anybody it considers not to meet these criteria.
Registered journalists must wear press badges at all times during the Annual Meeting.
The entire scientific programme during the Meeting is open to registered press delegates.
Camera crews filming in areas other than the Press Office or press conference hall must contact the Press Office before filming. Prior written approval from the presenter is required for permission to be granted. EASD does not obtain approval for those wishing to photograph / video a presenter.
These same rules apply for still photography.

Important notice
Filming and photography in the Industry Exhibition area is strictly forbidden.
If an exhibitor wishes to grant filming or photography of his booth, please ask for a special permission onsite at the INTERPLAN Industry booth in the registration area. If you would like to request your permission before the congress please send an email to Mr. Oliver Heinke o.heinke@interplan.de. The security staff onsite is instructed to deny access for any unauthorised photographer or filming crew to the Industry Exhibition.
These regulations comply with the code of conduct of the pharmaceutical industry.
Embargo Policies
Embargo policies are as follows for presentations for the EASD Annual Meeting:
Information contained in those abstracts published online and in the Volume of Abstracts may not be released until the abstracts appear on the EASD website. Abstracts are made available on the EASD website before the Annual Meeting takes place.
Poster Presentations are under embargo until 12:59 (CET) on 12 September 2017.
Oral Presentations are under embargo until one (1) minute following the commencement of the speakers’ presentation.
Presenters of press briefings are not permitted to invite company and / or institution representatives to attend the briefing.
Press briefings, other than those sponsored by the EASD, are permitted; however, they cannot be held on site at the same time as an EASD press event.
Third party press materials must be delivered on site to the staff in the EASD Press Room at the Annual Meeting. Materials delivered to the EASD Office in Düsseldorf prior to the Annual Meeting will not be transported to the Annual Meeting location.
Press releases must clearly display the embargo date and time of the presentation at the Annual Meeting. The company issuing the release assumes responsibility for ensuring embargoed releases are only distributed to reporters who will abide by the EASD’s embargo policies.

CME Points & Travel Requirements
Credit Points
The 53rd EASD Annual Meeting in Lisbon, Portugal has been granted European CME credits by the European Accreditation Council for Continuing Medical Education.
Certificates of Continuing Medical Education Credit Points will be provided by EASD at the CME counter in the Registration Hall on Thursday afternoon and Friday.
Passports and visa
A valid passport is generally required for entry. Being one of the Schengen countries Portugal follows the common visa policy on short-term stays of up to three (3) months within the Schengen area. The citizens of Schengen countries are not subjected to border controls within the common area, though airlines or other carriers do require an identification document (e.g. ID card or passport).

TAP Portugal is offering discounts for flight bookings in relation to the EASD Annual Meeting 2017 in Lisbon.

Applications may be made by any paid-up member of EASD not yet holding a title or academic degree (students) or from scientists conducting research after completion of the doctoral studies (postdocs/fellows).

Cancellation of the Annual Meeting
In the event that the Meeting cannot be held or is postponed due to events beyond the control of the organisers or due to events which are attributable to wrongful intent or gross negligence, the organisers cannot be held liable by delegates for any damages, costs, or losses incurred, such as transportation, accommodation, costs for additional orders, financial losses, etc.
Under these circumstances, the organisers reserve the right to either retain the entire registration fee and to use it for a future Annual Meeting, or to reimburse the delegate after deducting costs already incurred for the organisation of the congress and which could not be recovered from third parties.
Modification of the programme
The EASD Annual Meeting organisers reserve the right to modify the programme, which is published as an indication only.

However, EASD and its agents reserve the right to alter or cancel, without prior notice, any of the arrangements, timetables, plans or other items relating directly or indirectly to the Meeting, for any case beyond their reasonable control. Name badge replacement
The name badge must be worn at all times during the EASD Annual Meeting. Access to the congress centre will not be granted without the official name badge. If a delegate loses or misplaces the name badge, a handling fee of Euro 50 will be charged for a new name badge. Upon handing out a new name badge, the original badge will be deactivated and is invalid.
Data protection and sharing of contact details
The EASD office will collect and store all personal data only for the preparation and execution of the 53rd EASD Annual Meeting 2017 in Lisbon. Your data will not be passed on to any third party who is not involved in the organisation of this EASD Annual Meeting.
