Scientific Programme
The EASD scientific programme will start on Tuesday, 16 September 2025. Industry sessions and non-commercial sattelite symposia will start on Monday, 15 September 2025.
Session Proposal Submission
The EASD Session Proposal Submission System is available via MyEASD and will close on the deadline 28 April 2025 at 18:00hrs CEST.
The Scientific Programme at the EASD Annual Meeting is set up by the Scientific Programme Committee chaired by the EASD Honorary Secretary. The Scientific Programme Committee welcomes additional external symposia suggestions. These will be discussed and prioritised by the Scientific Programme Committee.
Please note that submission of any proposal does not imply any commitment from EASD. Information about acceptance/rejection will be sent to the submitter’s e-mail address by mid-June. If accepted, the session duration of your suggestion will be defined by the Scientific Programme Committee; accepted suggestions may also be edited to avoid overlaps in the programme. All proposals accepted by the EASD Scientific Programme Committee will be part of the final official Scientific Programme of the 61st EASD Annual Meeting in Vienna.

Abstract Submission
The EASD Abstract Submission System is available via MyEASD and will close on the deadline 1 April 2025 at 18:00hrs CEST.
All communications must be delivered in English. There is no simultaneous translation.
Abstracts can only be submitted online and must be submitted before 1 April 2025 at 18:00hrs CEST. This deadline will be strictly enforced, as will be the regulations given below. The presenting (= first named) author will be notified when the abstracts with the status "complete" are forwarded for anonymous review.
The following is an overview of the abstract submission process. Please read carefully the: DETAILED ABSTRACT SUBMISSION GUIDELINES before you begin the abstract submission process.
It is not permitted to submit work that has been published and/or is likely to be published before the EASD Abstract submission deadline (1 April 2025, 18:00hrs CEST). The Programme Committee has the right to remove an abstract if this contains data that has already been published. However, EASD accepts the submission of abstracts that have been presented in recent months at local or national diabetes meetings (e.g. ADA, DDG). An author submitting or presenting work that has been published in a journal before the EASD Abstract submission deadline (1 April 2025, 18:00hrs CEST) will be banned from presenting data at the EASD Meetings for three years.
Selection of abstracts for the Scientific Programme is made anonymously.
Abstracts submitted on Human Studies:
The box must be marked stating that the study has been reviewed by the Local Ethics Committee and that it has therefore been performed in accordance with the ethical standards laid down in the Helsinki Declaration (see World Medical Association: www.wma.net).
Abstracts submitted on Animal Studies:
The box must be marked stating that the study has been carried out along the “Principles of laboratory animal care” (NIH Publication no. 85-23, revised 1985) and according to the national law, if applicable.
The abstract must be submitted as follows:
There is no limit to the number of abstracts an author may submit; however, an author may only serve as the presenting author on two submissions. It is the authors’ responsibility to designate a new presenter for presentation scheduling conflicts that arise. If accepted, the presenter must be a co-author listed on the abstract at the time of submission.
It is mandatory that the presenting author of any abstract accepted for presentation or discussion attends the 61st EASD Annual Meeting 2025 in Vienna to present and discuss his/her paper. Failure to do so, without prior or adequate explanation sent to the EASD Office by e-mail, may result in the author or the institution being banned from presenting abstracts for the next three years.
Abstracts are welcome from non-members of EASD. Please refer to the Registration section, regarding the date by which authors must become members of EASD in order to qualify for preferential registration fees. These regulations will be strictly enforced.
The abstract must be submitted in English. New submitters/authors should create a MyEASD account. With these access credentials, they can revise the submission as often as required, make changes, additions, amendments, change/add/delete authors, copy special characters easily into the text, re-write the abstract or copy and paste the text in the corresponding boxes. All this is possible until the Abstract Submission Deadline: 1 April 2025 18:00hrs CEST. After this date the submission site will be closed.
Always double check that the “complete” status of your submitted abstract has not been affected after having edited it.
Changes to the content and/or author block of the submitted abstract will not be accepted after the submission deadline.

Once all submission steps have been successfully completed and the abstract deadline has passed, a notification confirming the final version of the abstract submission will be posted on the presenting author’s Scientific Submission portal (accessible by loging into MyEASD). All notifications will be posted ONLY on the presenting = first named author’s Scientific Submission portal, the name, middle name, last name and e-mail contact used during the submission process must match any existing EASD membership and/or MyEASD account (only one e-mail address per presenting = first named author).

Scientific Programme Committee
Preference for oral presentation or short oral discussion is not possible, they rank equally. The Scientific Programme Committee allocates the accepted abstracts to either an oral presentation or a short oral discussion session. The Scientific Programme Committee Members will meet in May 2025 and have the absolute right to accept or reject abstracts. Their decision is final. Only accepted abstracts will be published in the Abstract Volume.
The Scientific Programme Committee’s decision will be posted ONLY on the presenting = first named author’s Scientific Submission portal, the name, middle name, last name and e-mail contact used during the submission process must match any existing EASD membership and/or MyEASD account (only one e-mail address per presenting = first named author).
Oral and Short Oral Presentations during the EASD Annual Meeting will be delivered live; will also be made available on the EASD Media Centre.
Short Oral Discussions
A short PowerPoint presentation without audio must be uploaded to the EASD presentation management platform by the indicated deadline prior to the start of the Annual Meeting. Further details will be communicated to the presenting authors by means of a notification of acceptance posted ONLY on the presenting = first named author’s Scientific Submission portal.
Oral Presentations
PowerPoint presentation will be available for Oral Presentations. Further details on presentation will be communicated to the presenting authors by means of a notification of acceptance ONLY on the presenting = first named author’s Scientific Submission portal.
Publication of Abstracts
Accepted abstracts will be published in the Abstract Volume, a supplement issue of Diabetologia, the journal of the EASD. Furthermore, abstracts accepted for presentation and discussion will be published on the Association’s website easd.org from 1 July 2025.

EASD late-breaking abstract submission 2025
The EASD late-breaking Abstract Submission System will be available via MyEASD from 3 June and will close on the deadline 17 June at 18:00hrs CEST.
The late-breaking abstract deadline is not an extension of the abstract submission deadline.
Registration
Registration for the EASD Annual Meeting 2025 is open.
All registrations for the 61st EASD Annual Meeting, 15 – 19 September 2025, have to be made by means of the secured online registration system which will be available via the MyEASD platform.
EASD does not accept "blank" registrations. EASD requires the following details of the attendee: First name, Last name, Country, Personal email address and Prescriber / Non-Prescriber status.
All rates are indicated in Euro. The term "Paid-up Member" refers to a person who is recorded at the EASD Office as a paid-up member before starting the registration process and the membership must be valid during the EASD Annual Meeting 2025.
All references to a date or a deadline, mentioned in this and other conference documents, refer to the Central European Summer Time zone (CEST).

EASD is a non-profit organisation and as such not subject to VAT which also applies to the registration fees.

Individual & Third Party Registration
The individual registration system is open and will close on 19 September 2025, 14:00 CEST.
Methods of Payment
Payments can only be made in Euro.
Payment should preferably be made by credit card (Visa, Mastercard or American Express). When paying by bank transfer, bank charges are the sender's responsibility. The last name and the invoice number of the attendee must be used as reference. Bank transfer payments are only possible before 28 August 2025.
Name Changes
All registrations are personal, in the name of the initial booking, and as such not transferable.
Cancellation Policy
Credit will not be given for unattended events or early termination of the attendee’s participation.
Registration Confirmation
Registration confirmations will be emailed once payment has been received. This registration confirmation document will provide the attendee with the QR-Code to print the name badge onsite in Vienna and / or login requirements to access the EASD Virtual Meeting Platform.

Group Registration
The group registration system is open and will close on 3 September 2025.
Group Registration applies to groups with 15 or more delegates. If your group has a smaller number of attendees kindly register your attendees via the individual registration system.
You must create / log into your own MyEASD profile, which will be used for all future correspondence. Your group registration account will remain open until 3 September 2025. After this date, your online group account will be closed, and any further registrations can only be processed via the individual registration system or at the onsite registration counters in Vienna.
EASD requires the following details when you register a group attendee: First name, Last name, Country, Personal email address and Prescriber / Non-Prescriber status.
Name Changes
In Person registrations from 17 July 2025 to 3 September 2025:
For changing the name of an early “in person” registration between 17 July and 3 September 2025, the difference between the early and the late fee is charged (always considering the EASD membership status). These requests must be sent by email.
Virtual registrations:
Name changes are not possible for virtual registrations. Any spelling corrections to the attendees’ names must be sent via email to your group contact.
Registration Confirmations
In Person registrations / Collection of congress materials:
Group account holders have 2 options; EASD can arrange an onsite (at the meeting venue) pick-up appointment with your company enabling you / your representative to collect all the documents for your group (name badge, bag and congress material). New registrations and name changes can be processed during this appointment and must be paid directly.
If an onsite appointment is not wanted, the second option is that the account holder can request to directly receive the registration confirmations via their group account, it is the account holder’s responsibility to provide the delegates with the confirmation document / QR code including their personal login details.
A fee of €50 is charged for a replacement name badge if the attendee loses the name badge.
Virtual registrations:
Registration confirmations will be provided to the account holder once payment has been received. This registration confirmation document will provide the attendee with the login requirements to access the virtual meeting. It is the account holder’s responsibility to provide the attendees with the confirmation document including their personal login details.
Invoices and Payment
Until 16 July 2025, you can enter your account and add / delete as many attendees as required. Unless otherwise requested, your first invoice will be emailed to you after the early registration deadline date of 16 July 2025. After this date, further invoices will be sent to you on a daily basis for new registrations and the late registration fee will apply. After the early registration deadline, the names in your group account will be “fixed”. You can still view these names in your account, but any changes must be sent via email to your group account contact. Once an invoice has been issued, any details e.g. the address cannot be changed. In addition, €50 is charged to amend / cancel an incorrect registration fee selected by the client. Registration fee amendments can only be processed until 28 August 2025.
Payment is possible in Euros by bank transfer or credit card (MasterCard / Visa / American Express).
Invoices are due on date of issue and payable within 14 days of the invoice date. Bank transfer payments will be accepted until 28 August 2025. Invoices issued after 28 August 2025 must be paid immediately and by credit card. All final payments must be received before 12 September 2025. Acknowledgment of your payment will be sent per email.
Registrations from 17 July 2025 & onwards
Late registrations can still be entered into your account, and this is possible until 3 September 2025. After this date, any further registrations need to be processed via the individual registration system which remains open until 19 September 2025 or onsite in Vienna.
Cancellation Policy
Credit will not be given for unattended events or early termination of the attendee’s attendance. Refund of registration fees will be as follows:

Letter of Invitation
An official “Letter of Invitation” from EASD can be provided to registered attendees who paid their registration fee in full and can be applied for online via MyEASD.
This invitation document is solely prepared for the purpose of visa applications for in person attendees and does not imply any commitment on the part of EASD to provide financial support or confirmation of inclusion in the Scientific Programme.
If the visa application is declined – for whatever reason – EASD cannot be held liable for any incurred expenses, especially but not limited to registration fees, accommodation, travel or financial losses.
Please check with your local embassy what documents are needed to apply for an Austrian / Schengen visa.
The Letter of Invitation will be provided electronically (PDF). In case a hard copy is required, it will be mailed via regular post free of charge. The attendee will be responsible for all charges if a special (courier) delivery is requested.
EASD cannot provide supporting documents to the attendees to raise financial support and / or to apply for leave of absence from employment.
Certification
Certificates will be available online via the attendee’s MyEASD account after the EASD Annual Meeting 2025. It will be mandatory to complete the congress evaluation survey to receive certification.
In person attendance will be checked. Virtual watch time will be monitored via the personal MyEASD account of the attendee. This data will be the basis for certification.
Please be aware that any tracking blockers on the devices or browsers used may prevent EASD from properly tracking the attendee's activity. This may result in the inability to obtain certificates(s) and/or claim CME credits after the event.
EASD does not share the attendee’s certificate with any third party, which also includes the sponsor of the registration.

Travel Grants
EASD is pleased to announce that a limited number of Travel Grants are available to its young scientists (EASD Student Members and EASD Postdoc/Fellow Members) who are presenting authors of accepted abstracts.
This travel grant is intended to partially cover your travel expenses.
Registration to the Annual Meeting is not included.
Further details on how to apply will be provided in May 2025.

Press and Media
The press registration system will open in June 2025.
EASD provides complimentary press registration for journalists and media representatives covering the EASD Annual Meeting 2025.
Journalists and media representatives must certify their status by providing either a valid press ID card (NOT business cards) or a letter of assignment from the editorial office of their media outlet. EASD reserves the right to deny press registration to anybody it considers not to meet these criteria.
EASD may request at its sole discretion additional documentation from journalists and media representatives to review their status (e.g. copy of articles). In addition, EASD will grant a maximum of three complimentary press registrations for each media outlet or news organisation.
Industry spokespersons or staff, individuals from public relations, communications or promotion agencies, representatives from organisations developing any continuing education materials or programmes, and journal editors looking for potential authors and publishing options are not eligible for complimentary press registration.
Press Registration includes access to the entire scientific programme, access to press briefings and press releases distributed throughout EASD 2025 as well as access to the onsite Press Centre.
Embargo policies
Information contained in abstracts may not be released until 1 July 2025 when the abstracts are published online. For Oral Presentations, the embargo is lifted at the beginning of the presentation; for Short Oral Discussions, the embargo is lifted at the beginning of the session in which the Short Oral is going to be presented. For ePosters, the embargo is lifted at 12:00 CEST on Tuesday, 16 September 2025.
All press releases distributed by EASD will clearly state the respective embargo time and date which may, in exceptional cases, differ from the above stated embargo policy.
Filming, photography and recording
Filming, photography and recording is allowed in the Press Centre and all open (public) areas of the congress centre but we kindly ask that the privacy of the delegates and staff is respected. Filming, photography and recording is not allowed in the Lecture Halls, the Short Oral Discussion Sessions Areas, the Speakers’ Lounge and the Industry Exhibition.
Filming, photography and recording in areas other than public areas is subject to prior written approval from the Press Centre staff. To photograph, film or record a presenter during his presentation, prior written approval from the presenter is required for permission to be granted by EASD. EASD does not obtain approval for those wishing to film, photograph or record a presenter.
Filming and photography in the Industry Exhibition is strictly forbidden.
Reproduction of images, graphs and other visual representations
Data presented during the meeting is strictly copyrighted and use of imagery or visual representations of data without the explicit permission of the abstract author/presenter is strictly prohibited.
EASD does not obtain approval for those wishing to reproduce images of graphs/data in their reporting. Failure to get permission and provide evidence of this, and failure to provide accurate accreditation, will result in a breach of copyright.
