The EASD Annual Meeting 2022 will be a hybrid congress, providing the option to join us in person or virtual.
We believe a hybrid congress experience ensures that the global diabetes community can benefit from the latest research and innovations in the field of diabetes and offers various options for exchange and interaction, independent of the ongoing uncertainties regarding meeting and travel regulations across the globe.

Abstract Submission
The Abstract Submission deadline for the EASD Annual Meeting 2022 has passed. Submitters can view their abstract via the MyEASD account.
Any questions regarding submitted abstracts should be sent per e-mail to: abstracts@easd.org.
Communications must be delivered in English. There is no simultaneous translation.
It is not permitted to take photographs and/or film during any of the sessions.
Receipt of Abstract
Abstracts can only be submitted online and MUST be submitted BEFORE 1 APRIL 2022 18:00hrs CEST. THIS DEADLINE WILL BE STRICTLY ENFORCED, as will be the regulations given below. The EASD office will notify the presenting (= first named) author when the abstracts with the status "complete" are forwarded for anonymous review.
Submission of Abstracts
The following is a brief overview of the abstract submission process. Please read carefully the: DETAILED ABSTRACT SUBMISSION GUIDELINES before you begin the abstract submission process.
It is not permitted to submit work that has been published and/or is likely to be published before the EASD Abstract submission deadline (1 April 2022, 18:00hrs. CEST). The Programme Committee has the right to remove an abstract if this contains data that has already been published. However, EASD accepts the submission of abstracts that have been presented in recent months at local or national diabetes meetings (e.g. ADA, DDG). An author submitting or presenting work that has been published in a journal before the EASD Abstract submission deadline (1 April 2022, 18:00hrs CEST) will be banned from presenting data at the EASD Meetings for three years.
Abstracts submitted on Human Studies:
The box must be marked stating that the study has been reviewed by the Local Ethics Committee and that it has therefore been performed in accordance with the ethical standards laid down in the Helsinki Declaration (see World Medical Association: www.wma.net).
Abstracts submitted on Animal Studies:
The box must be marked stating that the study has been carried out along the “Principles of laboratory animal care” (NIH Publication no. 85-23, revised 1985) and according to the national law, if applicable.
Selection of abstracts for the Scientific Programme is made anonymously. THE ABSTRACT MUST BE SUBMITTED as follows:
Each author can be listed ONLY ONCE as the PRESENTING author (presenting author is always the first named author in the author block) on ONE (1) abstract. Each additional abstract will be removed from the system and will not be forwarded to the Review Committee. Additional abstracts will not be reviewed. Presenting authors may be co-authors of other abstracts. It is mandatory that the presenting author of any abstract accepted for presentation or discussion attends the 58th EASD Annual Meeting 2022 in Stockholm to present and/or discuss his/her paper. Failure to do so, without prior or adequate explanation sent to the EASD Office by e-mail, may result in the author or the institution being banned from presenting abstracts for the next three years.
Abstracts are welcome from non-members of EASD. Please refer to the Registration section of this General Information, regarding the date by which authors must become members of EASD in order to qualify for preferential registration fees. These regulations will be strictly enforced.
The abstract must be submitted in English. New authors should create an MyEASD account using their email address and a password. With this information they can revise the submission as often as required, make changes, additions, amendments, change/add/delete authors, copy special characters easily into the text, re-write the abstract or copy and paste the text in the corresponding boxes. All this is possible until the Abstract Submission Deadline: 1 April 2022 18:00hrs CEST. After this date the submission site will be closed. IMPORTANT!: Always double check that the “complete” status of your submitted abstract has NOT been affected after having edited it.
CHANGES TO THE CONTENT AND/OR THE AUTHOR BLOCK OF THE SUBMITTED ABSTRACT WILL NOT BE ACCEPTED after the submission deadline.

Programme Committee
Preference for oral presentation or short oral discussion is not possible. The Programme Committee allocates the accepted abstracts to either an oral presentation or a short oral discussion session. The Programme Committee Members will meet in May 2022 and have the absolute right to accept or reject abstracts. Their decision is final. Only accepted abstracts will be published in the Abstract Volume. The Programme Committee’s decision will be communicated via email in the last week of May 2022 ONLY to the presenting (= first named) author’s contact e-mail entered in the online abstract submission tool.
Short Oral Discussions
Short oral discussions rank equally with oral presentations at the EASD Annual Meeting. A short PowerPoint presentation without audio must be uploaded to the EASD presentation management platform by the indicated deadline prior to the start of the Annual Meeting. Detailed instructions will be sent to the presenting author on notification of acceptance (ONLY to the presenting (= first named) author’s contact e-mail entered in the online abstract submission tool) online abstract submission tool).
Oral Presentations
PowerPoint presentation will be available for Oral Presentations. Only single projection is provided.
Oral Presentations during the EASD Annual Meeting will be delivered live; they will also be made available as webcasts via the EASD Virtual Meeting.
Publication of Abstracts
Accepted abstracts will be published in the Abstract Volume, a supplement issue of Diabetologia, the journal of the EASD. Furthermore abstracts accepted for presentation and discussion will be published on the Association’s website www.easd.org from 1 July 2022.

Please read the following information carefully before starting the registration process
All registrations for the Hybrid 58th EASD Annual Meeting, 19 – 23 September 2022 have to be made by means of the secured online registration system which is available via the MyEASD platform.
If you have already an MyEASD account, you can use the login details from your existing account (email address and password) to login to MyEASD and register for the Annual Meeting. All other users will need to create a MyEASD account first in order to register. This account may be used for any further registrations in the future.
For further details on the legal regulations, please refer to the "Terms & Conditions" document that you are required to accept during the registration process.
EASD does not accept "blank" registrations. EASD does not charge VAT.
All rates are indicated in Euro. The term "Paid-up Member" refers to a person who is recorded at the EASD Office as a paid-up member before starting the registration process and the membership has to be valid during the Hybrid EASD Annual Meeting.
All references to a date or a deadline, mentioned in this and other conference documents, refer to the Central European Summer Time zone (CEST).

Methods of Payment
Payments can only be made in Euro.
Payments should preferably be made by credit card (Visa, Mastercard or American Express). When paying by bank transfer, bank charges are the sender's responsibility. The family name and the invoice number of the delegate must be used as reference. Bank transfer payments are only possible before 5 September 2022.
Name Changes
All registrations are personal, in the name of the initial booking, and as such not transferable.
Cancellation Policy
Credit will not be given for unattended events or early termination of the attendee’s participation.
Registration Confirmation
Registration confirmations will be emailed once payment has been received. This registration confirmation document will provide the delegate with the QR-Code to print the name badge onsite in Stockholm and / or login requirements to access the Hybrid EASD Annual Meeting.

Group Registration

You must create / log-in to your own MyEASD profile, which will be used for all future correspondence.
Registrations can be entered into your account until 2 September 2022, 23:59 CEST. After this date, your online group account will be closed and any further registrations can only be processed via the individual registration system or at the onsite registration counters in Stockholm.
EASD requires the following details when you register a delegate: first name, family name and country. If you register an EASD member, the EASD membership number is also required.
Name Changes
In Person registrations from 20 July 2022 to 2 September 2022
For changing the name of an early “in person” registration between 20 July and 2 September 2022, the difference between the early and the late fee is charged (always considering the EASD membership status). These requests must be sent by email.
Virtual registrations
Name changes are not possible for virtual registrations. Any spelling corrections to the delegates’ names must be sent via email to your group contact.
Registration Confirmations
In Person registrations / Collection of Congress Materials
EASD will arrange an onsite (at the meeting venue) pick-up appointment with your company enabling you / your representative to collect all of the documents for your group (name badge, lanyard and congress material). New registrations and name changes must be processed during this appointment and must be paid directly.
A fee of €50 is charged for a replacement name badge if the delegate loses the name badge.
Virtual registrations
Registration confirmations will be provided to the account holder once payment has been received. This registration confirmation document will provide the delegate with the login requirements to access the virtual meeting. It is the account holder’s responsibility to provide the delegates with the confirmation document including their personal login details.
Invoices & Payment
Until 19 July 2022, you can enter your account and add / delete as many delegates as required. Unless otherwise requested, your first invoice will be emailed to you after the early registration deadline date of 19 July 2022. After this date, further invoices will be sent to you on a daily basis for new registrations and the late registration fee will apply. After the early registration deadline the names in your group account will be “fixed”. You can still view these names in your account but any changes must be sent via email to your group account contact. Once an invoice has been issued, any details e.g. the address cannot be changed. In addition, €50 is charged to amend / cancel an incorrect registration fee selected by the client. Registration fee amendments can only be processed until 2 September 2022.
Payment is possible in Euros by bank transfer or credit card (MasterCard / Visa / American Express).
Invoices are due on date of issue and payable within 14 days of the invoice date. Bank transfer payments will be accepted until 5 September 2022. Invoices issued after 5 September 2022 must be paid immediately and by credit card. All final payments must be received before 12 September 2022. Acknowledgment of your payment will be sent per email.
Registrations from 20 July 2022 & onwards
Late registrations can still be entered into your account and this is possible until 2 September 2022. After this date, any further registrations need to be processed via the individual registration system which remains open until 23 September 2022 or onsite in Stockholm.
Cancellation Policy

Letter of Invitation
An official Letter of Invitation from EASD can be requested via the online registration system for delegates attending the in person meeting in Stockholm, Sweden.
EASD can issue a Letter of Invitation only for registered attendees and once the registration fee has been paid. This document does not imply any commitment on the part of EASD to waive the registration fee or provide financial support.
If your visa application is declined – for whatever reason – EASD cannot be held liable for any incurred expenses, especially but not limited to registration fees, accommodation, travel or financial losses.
Please check with your local embassy what documents are needed to apply for a Swedish visa.
Travel Grants
EASD offers a limited number of Travel Grants to its young scientists (Student Members and Postdoc/Fellow Members) who are presenting authors of an accepted abstract.
The travel grant is intended to partially cover your travel expenses, registration to the Annual Meeting is NOT included.
The deadline for submitting a Travel Grant Application is Tuesday, 5 July 2022, 23:59 (CEST).

Certification
Certification will be available online via the attendee’s MyEASD account after the Hybrid Annual Meeting. EASD will monitor the attendee’s virtual and in person presence and issue certificates based on the attendance time. It will be mandatory to complete the congress evaluation survey to receive certification.
The Hybrid Annual Meeting is currently under review process for accreditation with the European Accreditation Council for Continuing Medical Education (EACCME). EACCME has recognition agreements with USA and Canada for ECMEC conversion.
More detailed information on the certification process/criteria will be provided on the EASD’s homepage www.easd.org once the European Accreditation Council for Continuing Medical Education (EACCME) has reviewed the scientific programme of the Hybrid Annual Meeting.

Press Registration
EASD provides complimentary press registration to the EASD Annual Meeting 2022 to credentialed journalists and media representatives certifying their status by providing either a valid press ID card (NOT business cards) or a letter of assignment from the editorial office of their media outlet.
No separation will be made between onsite and online registration. Registered Press Delegates will have access to both, the onsite congress in Stockholm, Sweden as well as the online congress.
Press Registration includes access to the entire scientific programme, access to press briefings and press releases distributed throughout EASD 2022 as well as access to the onsite and online Press Centre.
Industry spokespersons or staff, individuals from public relations, communications or promotion agencies and representatives from organisations developing any continuing education materials or programmes are not eligible for complimentary press registration.
EASD reserves the right to deny press registration to anybody it considers not to meet these criteria.
Embargo Policies
All abstracts presented at the EASD Annual Meeting are embargoed until the date and time of their presentation in the scientific programme. For Oral Presentations, the embargo is lifted at the beginning of the presentation; for Short Oral Discussion Sessions presentations, the embargo is lifted at 11:45 CEST on Tuesday, 20 September 2022.
All press releases distributed by EASD will clearly state the respective embargo time and date which may, in exceptional cases, differ from the above stated embargo policy.
Filming, Photography and Recording
Filming, photography and recording is allowed in the Press Centre and all open (public) areas of the congress centre but we kindly ask that the privacy of the delegates and staff is respected. Filming, photography and recording is not allowed in the Lecture Halls, the Short Oral Discussion Sessions Areas, the Speakers’ Lounge and the Industry Exhibition.
Filming, photography and recording in areas other than public areas is subject to prior written approval from the Press Centre staff. To photograph, film or record a presenter during his presentation, prior written approval from the presenter is required for permission to be granted by EASD. EASD does not obtain approval for those wishing to film, photograph or record a presenter.
Filming and photograpgy in the Industry Exhibition is strictly forbidden.
Reproduction of images, graphs and other visual representations
Data presented during the meeting is strictly copyrighted and use of imagery or visual representations of data without the explicit permission of the abstract author/presenter is strictly prohibited.
EASD does not obtain approval for those wishing to reproduce images of graphs/data in their reporting. Failure to get permission and provide evidence of this, and failure to provide accurate accreditation, will result in a breach of copyright.
Media and Social Media Guidelines
Media representatives registered to the EASD Annual Meeting are expected to be compliant with the EASD Media Guideline and our Social Media Rules.

Press Centre
Journalists registered to the EASD Annual Meeting 2022 can access the onsite Press Centre in Stockholm offering work stations incl. WiFi/LAN, printers and interview rooms.
The online press Centre provides materials such as the press conference schedule, press statements from invited speakers, abstracts and speaker bios. Press releases will be distributed to registered press delegates throughout the meeting.
Third parties may distribute press releases or press kits through the online Press Centre. Press materials should be sent as PDF files to press@easd.org and must adhere to the EASD embargo policy by clearly stating the embargo time and date in line with the respective presentation at the Annual Meeting. The company issuing the release assumes responsibility for ensuring embargoed releases are only distributed to reporters who will abide by the EASD’s embargo policies.
Press Conferences
EASD will organize a series of press briefings throughout the Annual Meeting. A detailed schedule will be available for registered press delegates closer to the date.
Third party press conferences are permitted however, they cannot be held at the same time as an EASD press conference.

Modification of the Programme
The organiser will make all efforts to adhere to the programme advertised. However, the organiser and its agents reserve the right to alter, replace or cancel, without prior notice, any of the speakers or arrangements announced, provided that the overall character of the event remains unaffected. The organiser will inform the attendees to that effect immediately by publishing details of the modification on the website. If those modifications are caused by any factor outside of the reasonable control and the responsibility of the organiser (e.g. a speaker is suddenly prevented from attending, any unforeseeable disruption at the venue), the organiser will not be liable for any loss or inconvenience caused as a result of such modifications.
Cancellation of the Annual Meeting
The organiser reserves the right to withdraw from the contract in whole or in part and to cancel the Annual Meeting if the performance of the same is impossible due to force majeure or other unforeseen incidents outside its responsibility including, without limitation, strike, lock-out, natural disasters, terrorism, riots, war, disorder, and acts of public authorities. The organiser will inform the attendees to that effect immediately.
In this case, the organiser cannot be held liable by the attendee for any damages, costs, or losses incurred, such as transportation, accommodation, costs for additional orders, financial losses, etc. caused by the slight negligence of the organiser, its legal representatives or vicarious agents. Apart from that, the limitation of liability remains unaffected.
Under these circumstances, the organiser will refund the registration fee but reserves the right to deduct any costs from the registration fee which have already been incurred for the organisation of the Annual Meeting and which cannot be recovered from third parties.
Limitation of Liability
The organiser is liable without restriction for any damage arising from loss of life, personal injury or illness caused by the organiser, its legal representatives or vicarious agents.
In the event of any other damage caused by the organiser, its legal representatives or vicarious agents, liability is limited to intentionally or grossly negligent conduct.
The above does not apply to claims relating to breaches of fundamental contract obligations. Fundamental contract obligations are those the performance of which is essential to the contract and on which the attendee may rely. In the event of a breach of fundamental contract obligations caused by the slight negligence of the organiser, its legal representatives or vicarious agents, the organiser’s liability for all damage is limited to the foreseeable damages typical of the contract.
